About the Role

For our new offices, located in the heart of Munich next to the Central Station, we are looking for a “people-person”, a dynamic, outgoing, high energy office administrator who enjoys engaging with our 40 colleagues in a wide variety of activities, taking care of a lot of little daily requirements that pop up in an office. In this key role you be the first point of contact for your colleagues in all office related matters, and you will assist the teams in their day-to-day operations and administration of the office. This position is based at our offices in Munich, Germany.

Your Responsibilities

  • Provide administrative support including organizing company events, scheduling meetings, educational trainings, and arranging travel, incl. management of travel expenses;
  • Support HR related processes, i.e., recruiting of new employees (prepare interview room, organize interviews, host candidates) and health & safety processes according to German law on-situ;
  • Assist with special projects; meet and greet visitors; answer incoming phone calls;
  • Function as the first point of contact for Genedata employees for daily operational matters, align with Genedata Headquarter in Basel, Switzerland
  • Manage third parties incl, order and manage office supplies, and coordinate maintenance services with our landlord;
  • Liaising with offices’ facility managers and office equipment vendors.

Skills & Experience

  • Proven track record as people passioned office manager or administrative assistant in an agile working environment, HR experience would be a plus;
  • MS Office proficiency: Word, Excel, PowerPoint, and Outlook;
  • Strong can-do mindset, solution oriented, proactive, and able to multi-task with;
  • Exceptional attention to detail, highly organized, proactive, and customer oriented;
  • Excellent communication and interpersonal skills, fluent in German and English is a must have, any other language is a plus.
